Terms and conditions of ticket purchase 1. Definitions: 1.1 “The committee”, “We”, “Us”, “Our” all denote the organising committee of the Wadham Ball 2022 1.2 “You” denotes the primary ticket holder 1.3 The primary ticket holder is any person who directly makes the purchase of a ticket to Wadham Ball 2022 and is the registered account holder for the account with which the tickets are purchased 1.4 “The Ball” denotes the event, Wadham Ball 2022 1.5 “Your guest” denotes any additional persons whose tickets were purchased by the primary ticket holder 2. Introduction: 2.1 By opting to purchase or possess tickets to the Ball, you automatically agree to the terms and conditions of this contract. 2.2 In the case of any registered objection to these terms, our decision will be final – any such objections should be emailed to [email protected] 2.3 We reserve the right to amend, add to or replace any terms and conditions listed in this document, and these alterations will be updated on Fixr, and anywhere else this document is listed 3. Obligations: 3.1 The committee will organise a Ball, which will be held at Wadham College, Oxford on 24th June 2022 for ticket holders, subject to the terms and conditions in this document 3.2 This contract is between the primary ticket holder and the committee. Hence any guests you purchase tickets for will be the responsibility of the primary ticket holder. 3.3 For security purposes, the name(s) of you and your guest(s) must be provided exactly as stated on their valid identification; the forms of identification accepted are set out in 3.4. Any discrepancy with the ticket will result in refusal of entry. 3.4 Valid identification must be shown at the premises entrance to be allowed entry. The forms of identification accepted are a valid passport or valid photo card driving license. No other forms of identification will be accepted. 3.5 Any persons under the age of 18 years will be refused entry to the Ball, and if found in attendance will be required to leave. 3.6 A valid Wadham Ball 2022 wristband will be required for entry. Any person seen on the premises without a valid wristband will be removed from the Ball. Hence, the wristbands provided must be worn for the duration of the Ball. 3.7 Appropriate COVID certification, as set out in 6.4, will be required for entry. 3.8 We hold no responsibility for ticket holders accounts on Fixr, the ticketing platform. 4. Purchase of tickets: 4.1 A ticket purchase is not complete until you have received confirmation of receipt of payment. Any ticket is subject to the payment of the full ticket price. 4.2 Alterations to named tickets may be requested and permitted at the discretion of the Committee. Such requests should be emailed to [email protected] with the subject “Ticket Alteration Request” 4.3 If false and/or misleading details are provided when booking, then your ticket may be forfeited and redistributed for sale. If payment has been made, this may not be returned. In this case, applications for refunds should be emailed to [email protected], with the subject “Exceptional Circumstances” 4.4 The price of tickets are as listed on Fixr. These are non-negotiable, the only price reduction being offered will be via Ball for All for accessibility reasons 4.5 Applications for Ball for All tickets should be emailed to [email protected] 5. Refunds and transfers: 5.1 Requests for refunds will be considered at the Committee’s discretion. Such requests should be emailed to [email protected] with the subject “Refund Request” 5.2 We cannot guarantee full refunds at any point after purchase. We will aim to refund as close to the full price as possible upon request, however as sunk costs increase closer to the Ball the refundable amount will decrease 5.3 Refund requests made after non-attendance of the Ball may only be considered under exceptional circumstances. Such requests should be emailed to [email protected] with the subject “Refund Request” 5.4 Requests for tickets to be transferred to another person in the same ticket category will be considered at the Committee’s discretion. Such requests should be emailed to [email protected] with the subject “Transfer Request” 6. Conditions of Entry: 6.1 We reserve the right to refuse entry to any persons not wearing a valid Wadham Ball 2022 wristband 6.2 We reserve the right to refuse entry to any persons deemed to be a risk to the safety of other attendants/themselves, or a risk to the running of the event. This includes any antisocial/violent/illegal behaviour or excessive intoxication 6.3 We reserve the right to refuse entry to any persons not complying with government, university, and Wadham College COVID-19 regulations in place at the time of the ball, if any. 6.4 We reserve the right to refuse entry to any persons who do not present sufficient COVID-19 safety certification. By the time of the Ball, this requirement may change and any changes will be communicated to ticket holders. Appropriate safety certification includes proof of: two vaccinations against COVID-19, with the second more than 14 days before the Ball; a positive PCR test within the 180 days prior to the Ball; a negative LFT within the 48 hours prior to the ball. To protect the medical history of ticket holders, we will use the COVID Pass scheme (https://www.gov.uk/guidance/nhs-covid-pass) 7. Admission: 7.1 The times of entry and point of entry will be communicated to you through email 7.2 Persons attempting to enter the Ball after the allotted time may be refused entry – under these circumstances we cannot refund your ticket 7.3 You will be required to vacate the event by 5am on Saturday 25th June, and will be directed to do so by security and the committee. 7.4 Persons who leave the premises during the event will be refused reentry except under certain circumstances. 7.5 The terms of 6.2 also apply to those already on Ball premises, and persons participating in inappropriate behaviour/non compliance of this document may be removed from the event at the Ball committee’s discretion. Persons removed from the event will not be offered a refund. 8. Accessibility: 8.1 If you or any guests you purchase tickets for have accessibility requirements, it is your responsibility to inform us – either through the ticketing website at point of purchase or with at least 14 days notice by emailing [email protected] 8.2 The Committee aims to make the Ball accessible to all guests, however the restrictions of the premises may make some areas inaccessible despite the best efforts of the Committee. 9. Loss, Theft, Injury or Damage: 9.1 You and your guest(s) will be held responsible for any loss, theft, injury or damage attributable to you, only except where there was negligence by the Committee, Wadham College, or anyone employed by the Ball. 9.2 The Committee, Wadham College and any persons employed by either will not be responsible for any injurious events or thefts at the Ball, unless the act leading to the injury/theft should have been foreseen and prevented by the Committee. 10. Cancellations and Postponements 10.1 If the Ball is postponed to a later date, all tickets will be honoured for the new date. Requests for refunds and transfers will be considered as in 5.1, 5.2 and 5.4 10.2 In the case where the Ball has to be cancelled due to circumstances beyond reasonable control of the Committee, refunds may be offered at our discretion. In such a situation, we will provide as large a refund as possible, however the extent to which we can do so will be limited by how close to the Ball the cancellation occurs. 11. Data Protection: 11.1 All information you provide will be handled in accordance with GDPR and the Data Protection Act 1998. Data will not be passed onto third parties unless you give express consent at point of purchase. Your data will only be used for the purposes of Wadham Ball 2022, and will be deleted 21 days after the event. The committee are not responsible for data collected by Fixr. 11.2 By entering your email address, you agree to the above use of your and your guest(s) information 11.3 Throughout the Ball there will be photographers operating. By purchasing tickets, you accept that you may be photographed during the Ball, and that these photographs may be released in the public domain. The Committee will hold copyright of any such photos. Please email [email protected] ahead of the event if you do not wish to be photographed. Requests for photographs to be removed retrospectively should be emailed to [email protected] also.
